Responsibilities
- Organisation of manager's agenda
- Dealing with incoming telephone calls and information requests
- Analysis of incoming correspondence and documentation
- Managing the distribution of outgoing correspondence and documentation
- Preparation and organisation of travel information and tickets
- Maintaining mission and leave systems
- Organisation of internal and external meetings and receptions
- Preparation of presentations and meeting documentation
- Ordering office supplies
- Maintaining office filing systems
Profile
Education level: Bachelor's degree or equivalent
- Minimum of 5 years experience in a similar position
- Excellent command of English, good knowledge of other European languages is an asset
- Excellent communication skills
- High proficiency Microsoft Office software - particularly PowerPoint, Excel, and Word
- High level of flexibility
- Ability to cope with pressure
- Excellent organisation and communication skills
- Ability to multi-task in a busy environment
- Ability to establish and maintain effective working relationships within and outside of the organisation
These positions require a motivated person with a service-oriented and representative personality key words are accountability and reliability.
The incumbent must be able to perform the tasks in an efficient manner, including maintaining awareness of the confidentiality of the information passing through the office. The performance of the duties will need a person that is self-motivated to ensure that all actions are completed in time and to the quality expected of a manager's office. The person will also need a good knowledge of the procedures of the office, and also need to be able to adapt the procedures when situations require a certain amount of initiative. A key quality will be that the person in this role will have excellent organisation skills with a logical mindset.
The position needs to have a degree of flexibility to ensure that activities that are not completed with in the normal working hours are completed outside of hours if these activities are seen as critical.
Past experience of working at ESA is seen as advantageous
